Terms & Conditions

1. Registration

To register, customers must be at least 18 years old. For students under the age of 18, a parental authorisation
must be attached to the registration form, giving details of the persons to be notified in the event of an
case of accident. A list of information concerning the authorizations given to the customer during his stay must be given to us.

2. Administration fees

a. FLE courses :
These fees are €70 (for language stays), €50 (for au-pairs or EU expats) and €100 (for au-pairs or non-EU expats) and are in addition to the course fees.

b. language courses :
This fee is €30 per family.
In the event of registration of an additional member of the same family, a 50% discount will be applied to the registration fees of the additional members.
In the event of cancellation, this fee will not be refunded.

c. adult language courses:
This fee is €30 per family.
In the event of registration of an additional member of the same family, a 50% discount will be applied to the registration fees of the additional members.
In the event of cancellation, this fee will not be refunded.

3. FLE registration certificate

A deposit of at least 30% is required to validate registration. A
confirmation will be sent by e-mail, together with a detailed invoice. Customers are responsible for sending documents by express registered mail.
If the stay is only for one week, the full invoice must be paid on registration.

4. Visa

For stays of more than 3 months and for customers from non-European Union countries, a request for a long-term visa (in this case for long-term studies) must be made.
On receipt of the registration and deposit, a certificate of registration will be sent to confirm the customer’s arrival for an educational stay. A letter of invitation can also be sent as proof to the French embassy, if required. It is the customer’s responsibility to take care of the administrative formalities in good time, providing the appropriate documents.

5. Cancellation

a. FLE courses :
The deposit is non-refundable, except in the case of a justified visa refusal (not the responsibility of the trainee – 100€ will be kept to cover administrative costs + 120€ when the customer has subscribed to a one-year online platform). In the event of cancellation two weeks prior to arrival, 50% of the course fee (excluding registration fees) may be refunded, or the course may be postponed to a later date (within one year); no refunds will be made for cancellations made on site, once the course has begun. In the event of force majeure, the course may be postponed to a later date (within one year). Any change or postponement made less than two weeks before the client’s arrival will be considered as a cancellation. In cases where the customer is unable to attend for medical or professional reasons (a certificate must be provided by a doctor or the employer by e-mail), it will be possible to postpone the course to a later date, up to a maximum of 12 months after receipt of the documents.

b. KIDS ZONE and TEENS ZONE courses:
Registration fees are non-refundable. Courses are non-refundable once started.
In cases of force majeure or exceptional circumstances, special arrangements may be made.

c. adult language courses :
Registration fees are non-refundable. Once a course has begun, it is non-refundable, except in cases of force majeure and upon presentation of proof (a credit note will then be issued for a maximum period of one year).

d. individual courses (private or corporate) :
Any course not cancelled 48 hours in advance will be considered cancelled-lost. In other words, no refund or postponement will be possible.

If INSTITUT INTERNATIONAL LANGUES & AFFAIRES is forced to cancel a course, a full refund will be made. If, among the options chosen by the customer, the number of students
is not reached (5 students), INSTITUT INTERNATIONAL LANGUES & AFFAIRES reserves the right to place the customer in another available course.

6. On-site payment

In the event of inappropriate or disrespectful behavior on the part of a client (either towards staff or other clients), INSTITUT INTERNATIONAL LANGUES & AFFAIRES reserves the right to exclude the client at any time. No refund will be made.

7. Using the image

INSTITUT INTERNATIONAL LANGUES & AFFAIRES may occasionally take photos of students during classes or activities. In the event of a refusal to use these photos, a letter must be given to us, indicating the refusal, before or at the time of the customer’s visit.

8. Claims

In the event of a complaint, the school administration is the final authority in the decision to reimburse or recover a course.
in the event of a complaint. Any complaint concerning the services provided by INSTITUT INTERNATIONAL LANGUES & AFFAIRES must be registered by registered letter and sent to INSTITUT INTERNATIONAL LANGUES & AFFAIRES , 1 rue de clairefontaine, SMARTCITY CAMPUS , 78120 RAMBOUILLET, France.
All complaints must be made at the latest one week after the stay.
In the event of litigation, the parties agree that the case will be judged by the jurisdiction of the Courts of Versailles.

9. Insurance

INSTITUT INTERNATIONAL LANGUES & AFFAIRES  declines all responsibility in the event of theft, loss or damage to the customer’s personal belongings. IILA is insured for civil liability by the GAN group. However, it is the responsibility of adult trainees, students and minors to be covered by appropriate personal insurance.
Medical evacuation and repatriation insurance is MANDATORY for all foreign students. A copy of this must be provided.

10. French public holidays / school closure

No discounts will be given, and no classes will be made up. Classes are held outside these periods.

11. Price

The price list is posted on the INSTITUT INTERNATIONAL LANGUES & AFFAIRES website and sent by e-mail on request.

12. Payment

a. FLE courses :
The registration fee and deposit must be paid to confirm enrolment. The balance must be paid on receipt of the invoice, one month before the start of the course. Last-minute bookings or registrations for one week only must be paid in full before arrival. Any bank charges must be paid by the customer. Any customer who has not paid his/her invoice will not be allowed access to the classroom or accommodation.

b. KIDS ZONE, TEENS ZONE courses:
Courses are paid for at the beginning of the course once it has been confirmed..

c. adult language courses :
Courses are paid for at the beginning of the course once it has been confirmed.

d. adult OPCO/company courses:
50% of course fees must be paid at the start of the course, with the balance due on receipt of the invoice at the end of the course. Specific payment conditions will be stipulated in the training agreement.

13. Payment methods

Payment must be made in Euros. It is possible to pay by :
– Credit card (Visa, Mastercard, Eurocard )
– Cheque or Eurocheque payable to INSTITUT INTERNATIONAL LANGUES & AFFAIRES (please specify invoice number and customer name on the back)
– Bank transfer (please take into account bank charges of around €30 for non-European countries and €10 for European countries – specify invoice number and name of trainee).

– Cash within the limits of the law.
